RESPONSIBILITIES
You’ll wear multiple hats, but your core focus is executing and managing operations.
Execution & Admin Ops
- Own Slack/GHL/email inboxes and keep comms running smooth
- Send contracts, onboard clients, manage access to platforms (GHL, Slack, email, etc.)
- Follow up on failed payments, send new links, and track down issues
- Post social content across IG, FB, TikTok, YouTube
- Edit basic videos in CapCut for short-form posting
- Use ChatGPT to write, summarize, edit, or organize info fast
- Build and organize internal docs, SOPs, and team task systems
Team Management
- Hire and interview new VAs (we’ll give you the systems—just execute)
- Train, onboard, and track performance of all VAs and support contractors
- Set clear expectations and follow up with accountability
- Be the daily point of contact for junior team members
- Spot gaps in capacity, structure, or delivery—and fix them
Proactive Ownership
- Manage your own workload without handholding
- Keep track of what’s pending, what’s broken, and what’s coming
- Fill in the blanks—if there’s nothing assigned, you know what needs to get done
- Think like an operator and act like a leader (even if you don’t have the title yet)
REQUIRED TOOLS + TECH COMFORT
You must already know, or be a fast learner in:
- GoHighLevel (GHL)
- Slack
- Canva
- CapCut
- Google Drive + Docs/Sheets
- Facebook, Instagram, TikTok, YouTube Shorts (posting + engagement)
- ChatGPT for admin, writing, and organizing
- Bonus: ClickUp, Notion, or similar task tools
YOU'LL THRIVE HERE IF…
- You’ve actually managed other people and know how to get results through others
- You love to lead with clarity, and follow up with accountability
- You naturally organize things that are messy
- You don’t need constant tasks handed to you—you hunt for them
- You think ahead, ask smart questions, and protect your leader’s time
- You genuinely enjoy being the “go-to” operator in a business
REQUIREMENTS (NON-NEGOTIABLE)
- 3-4 years as a VA in an online company supporting the CEO
- 1–2+ years managing remote contractors or team members
- Strong written and spoken English
- EST overlap for at least 4 hours/day
- Reliable internet and computer setup
- Long-term availability with room to grow into full-time role
STARTING STRUCTURE
- 90-day trial: Part-time (20–30 hrs/week)
- If you’re a fit: Expand into full-time + operations manager
- Pay raises and leadership opportunities based on results
