This is a hybrid role supporting our Director of Operations and CFO, with strong accounting responsibilities and executive admin support.

About the Role
You’ll play a key part in keeping our business and financial operations organized, up to date, and moving fast. From managing accounts payable and receivable to supporting vendor communications and building reports, this role is perfect for someone who loves structure, ownership, and efficiency. You must be experienced with QuickBooks Online (QBO) and comfortable handling financial workflows end-to-end.

What You’ll Do

Accounting & Finance Support: 

Retrieve and upload PODs (proof of delivery) in our system within 24 hours of delivery

Record customer payments and manually close PO's within our SAAS 

Upload carrier bills, enter into QuickBooks Online, and update carrier data as needed (AP)

Record carrier payments and upload remittances and proof of payment

Reconcile lumper payments and manage all AP/AR tracking spreadsheets

Maintain and update weekly aging reports and follow up on payment statuses

File NOA, LOR, and void checks into carrier profiles

Manage accounts not processed through Denim and assist with quarterly closeout projects

Administrative & Executive Support:

Provide direct support to the Director of Operations and CFO

Track internal tasks, vendor deadlines, and financial follow-ups

Assist with meeting prep, take notes, and follow through on action items

Maintain operational records and support cross-functional projects

Liaise with vendors and clients for ACH details, document retrieval, and payment communications

Build revenue scorecards and client reports using Canva

What We’re Looking For:

Proficiency in QuickBooks Online is a must

Experience in logistics, accounting, or operations is highly preferred

Ultra-organized and detail-oriented with strong follow-through

Excellent written and verbal communication skills in English

Comfortable with Google Workspace, Excel/Sheets, Canva, and cloud-based tools

Calm under pressure and solutions-focused

Self-starter who works well independently in a fast-paced environment

Loyal, trustworthy, and professional with sensitive company data
