We are currently looking for an exceptional Filipino Executive Assistant to support our client operations and enhance efficiency across multiple business functions.
About the Role
We are seeking a seasoned Executive Assistant with at least 5 years of experience, particularly in supporting U.S.-based companies. This role is ideal for someone who is proactive, solutions-oriented, confident, and has excellent communication skills. You will be supporting a fast-paced team by taking ownership of key administrative functions—including handling calls and assisting with light sales efforts—while helping remove operational roadblocks.
Key Responsibilities
Scheduling & Dispatching Support
Help reduce the load on routing, confirm new orders, and perform calendar follow-ups.
Billing & Invoicing Oversight
Manage daily invoicing, identify and correct missing charges (e.g., hand wash stations), and ensure accurate setup in CRO.
ConstructConnect Bid Monitoring
Track deadlines and submit proposals relevant to the areas the business serves.
Payment Portal Support
Assist in setting up systems that allow customers to pay online without needing to call in.
Social Media & Website Updates
Maintain branding consistency, fix typos, update content and images, and ensure services are accurately reflected.
Email & Calendar Management
Triage and organize incoming communications, quote requests, and scheduling needs.
SOP & System Support
Document essential processes, build streamlined workflows, and identify and resolve operational bottlenecks.
Inbound/Outbound Calling
Handle professional calls with clients or vendors and follow up on inquiries.
Light Sales Support
Assist in following up on leads, setting appointments, and representing the company’s value proposition effectively.
Who You Are
Minimum 5 years of experience as an Executive Assistant
Prior experience working with U.S.-based companies
Exceptional written and verbal English communication skills
Comfortable and confident on the phone; able to communicate clearly and professionally
Some experience with sales support or client interaction is a plus
Strong sense of initiative, accountability, and professionalism
Able to anticipate needs, manage competing priorities, and act with urgency
A problem-solver who finds solutions without needing to be told what to do
